Sales Support & Administrative Coordinator

We are seeking a highly organized, detail-oriented, and proactive Sales Support & Administrative Coordinator to join our fun, collaborative, and fast-paced team. The ideal candidate is a critical thinker and creative problem solver who thrives on improving processes, delivering accuracy, and driving efficiency across all areas of sales support.

In this role, you’ll be the backbone of our sales operations — managing CRM data, coordinating prospect communication, supporting live calls and presentations, preparing proposals, and ensuring seamless alignment between sales and operations. You’ll also maintain and refine our Sales Standard Operating Procedures (SOPs) and manage task workflows within Jira, our system for process and task management.

Experience in eCommerce and Amazon sales is required for this position.

Job Responsibilities:

  • CRM Management: Maintain and update customer and prospect information in Pipedrive (experience preferred) to ensure data accuracy and pipeline visibility.
  • Lead & Prospect Follow-Up: Proactively track, follow up, and nurture leads to keep deals moving through the pipeline.
  • Sales Materials & Proposals: Prepare customized presentations, proposals, and pricing requests for new business opportunities.
  • Meeting Participation: Attend discovery calls, custom presentations, and prospect meetings to take detailed notes, record next steps, and handle follow-up communications.
  • Communication & Coordination: Draft professional outreach and follow-up emails to prospects, partners, and clients; provide weekly updates and progress reports via Slack.
  • Sales Meetings: Help prepare for and attend the weekly sales call, including agenda creation, meeting notes, and tracking action items.
  • SOP & Task Management: Maintain and update Sales SOPs and manage task assignments in Jira, ensuring processes are current, efficient, and consistently followed.
  • Contract & Pricing Requests: Submit, monitor, and follow up on pricing and contract requests to ensure timely completion and accuracy.
  • Reporting: Generate and maintain sales reports, dashboards, and pipeline performance summaries for leadership review.
  • eCommerce & Amazon Sales Support: Support ongoing initiatives related to Amazon Seller Central/Vendor Central and other eCommerce platforms.
  • Team Collaboration: Partner closely with sales, marketing, and operations to ensure clear communication, process alignment, and timely execution.

Job Requirements and Key Competencies:

  • 3+ years of sales support, sales operations, or administrative experience, ideally in a B2B or eCommerce environment.
  • Strong working knowledge of CRM systems (Pipedrive preferred).
  • Excellent attention to detail, organization, and follow-through.
  • Proven critical thinking and creative problem-solving skills.
  • Strong written and verbal communication skills, with the ability to craft professional and persuasive correspondence.
  • Experience with Amazon Seller Central or Vendor Central is required.
  • Proficiency in Microsoft Office and/or Google Workspace.
  • Experience with Jira for SOP and task management strongly preferred.
  • Must be proactive, accountable, and able to work East Coast business hours (even if located elsewhere).
